Live Event Production, Behind the Screens
Live Event Production is definitely an exciting career; the job is always changing, working with and for new and interesting people certainly keeps things interesting. It can also be a challenge at times; long hours followed by quick turnarounds with the pressure of deadlines breathing down your neck can be quite stressful at times.
When it’s all said and done, I don’t believe many of us would trade this job for many. The reward in completing some of these seemingly impossible physical and technological production asks, is at times unrivaled. Seeing eyes glued to an LED Wall or hundreds of thousands tuned into your live stream is something we’re immensely proud of, so we decided to share some behind the scenes of what we do.
Live Event Production at E3 2019
Repertoire Productions had the pleasure again this year to get the opportunity to produce the live event production for GameSpot’s booth and Livestream from the show floor of E3 2019, down in sunny Los Angeles, CA. That’s right! You can get the Repertoire you know and love on the road.
An incredibly exciting challenge we were presented this year from GameSpot, adding a 20ft LED Video Wall to this year’s E3 booth. Something we’d talked about in years past, but this year was looking feasible. We were ready for the opportunity and knew it was going to be a challenge.
Live Event Production at the Los Angeles Convention Center is definitely a lot of moving parts. With show day on June 13th we needed to start work early, June 3rd to be exact. Beginning with under carpet cable runs for all our audio, video, ethernet and power needs (redundancy is a must), we worked according to our pre-production outlines to confirm correct signal flow, once carpet is laid that’s that. The next day, in conjunction with stage & set fabrication, it’s time for rigging line array speakers, lights and LED Wall. Working with multiple different in-house teams, it’s important to have your pre-production square.
Music Festival Live Event Production
Music Festivals have become an incredibly popular form of live event production over the past couple of years, understandably so. Festivals have become an incredible space for immersive live event production, from incredible lighting structures to massive visual displays, there’s something for everyone to be impressed.
From lighting and sound to scenic elements; the main goal is to create an immersive live experience for your attendees, whether corporate salespeople or Burners, we all like pretty lights. Elements like Colored LED Uplights can add a delightful splash of color to your existing environment, mix that with company logos or local art and you have an eye catching way to highlight elements. Repertoire’s crew had the opportunity to get a first hand look at the setup for the Northern Nights Music and Arts festival and we weren’t disappointed. Festivals like this don’t just pop up overnight, the live event production takes weeks to come together, let’s take a look.
An important consideration when hosting a live event or experience is audience stamina. The goal of many company events, coding camps, etc is to share as much information as possible. The issue is that many attendees eventually check out mentally, and may need a recharge. Northern Nights had a creative solution, outside of musical performance they offered morning yoga, arts, lounging areas and artist/expert talks and interviews, allowing for a multitude of alternative ventures for different personalities.
A plus to Northern Nights being hosted in a redwood grove in Northern California are the beautiful natural backdrops available, pipe and drape is nice, but doesn’t compare. Many offices are located in desirable areas and boast stellar views, let’s take advantage of your real estate.
Live Event Production | LED Video Walls at SwampUp 2019
Multi-Screen LED Walls may seem like a daunting challenge, we certainly don’t want to make it seem easy. Our production company and crew came through big for JFrog at Swamp Up 2019. Working with JFrog this year, they too, wanted to step their live event production value to the next level. This included moving to 3 LED Screens as opposed to 3 projection screens. In hindsight a major upgrade, plus a new venue in San Francisco, which required the use of in-house labor.
What ended up being a quick setup, was greatly attributed to having delegation and bandwidth available for the LED Screens. It is extremely important to remember the electrical and weight requirements when considering flying an LED Wall. LED Walls are worthwhile additions to any live event production, but they are also an expensive item to deploy professionally. Once you know what it takes to put up an LED Wall, the appreciation is boundless.
TED Talks and TEDx Live Event Production
Repertoire has helped produce and broadcast many TEDx events, including the original in (San Francisco) in 2011, and since then we’ve learned a thing or two about growing a big show from a small budget. We have developed an expansive collection of creative tools that allow us to approach or match the production value of officially organized TED events– events whose budgets can run into the millions.
Creative pre-visualization of stage design is key to coordinating teams on big projects. Your event needs to look and sound better than previous events, and stay fresh with modern expectations. At Repertoire, we use 3D design software to create CAD stage renderings so you can understand exactly what the event entails.
We hunt down the best sources for printed banners, and our creative director personally examined test materials to select the best type for the event. These methodical and detail-oriented steps are part of good design, and the remaining part is having an in-depth understanding of real production techniques. While developing a vision for the stage, we can virtually build the stage using common materials and create a shopping list right from the design.
We also understand that with TED events, time is paramount for editing and uploading individual talk videos so they are ready for viewers to watch and share. We believe that our experienced editors combined with a high-bandwidth workflow are the reason that TEDx videos produced by Repertoire enjoy, on average, almost TEN times more views when compared to the videos produced by other companies. And with proper Pre-Production and preparation, we save the client money in the meantime.
